The buyer’s checklist: 12 questions before you sign for cafeteria software
Most cafeteria software demos look identical. These twelve questions expose the differences that will actually decide whether the rollout succeeds.
Every cafeteria-management demo shows the same happy path: a menu, an order, a payment, a dashboard. The differences that decide whether your rollout succeeds — or quietly dies in month three — live in the questions vendors hope you won't ask.
Here are the twelve we'd ask, including of ourselves.
Speed & resilience
1. How long does one transaction take at the counter, end to end? Watch it with a stopwatch, at demo. Anything over two seconds will be hated at rush hour. (Our bar: sub-second RFID/biometric taps.)
2. What happens when the internet dies mid-lunch? The answer must be "service continues, transactions queue and reconcile" — not "there's usually connectivity".
3. What happens when a card is lost? Instant block, balance intact, replacement card carries it over. If the answer involves a form and three days, keep shopping.
Money & trust
4. Is the ledger double-entry? Every top-up, charge, refund and adjustment as an immutable event with an actor and a timestamp. If balances are just a number that gets overwritten, disputes will be your job forever.
5. Can it enforce our meal policy — exactly? Bring your gnarliest rule (subsidy splits, daily limits, time windows, shift-based eligibility) and ask them to configure it live. "We can customise that" means "no".
6. How do settlements work with our finance team? Per-outlet, per-method reports that export cleanly. Ask to see a real settlement file, not a dashboard screenshot.
Growth & reach
7. Is the consumer app white-labelled? Your brand on the store listings, or theirs? Your customers' relationship should be with you.
8. What can we do with segments? One customer group should power pricing rules, offers, ad campaigns, broadcast lists and reports — without recreation. This is the single fastest test of whether it's a platform or a bundle.
9. Which channels can it grow into? Vending machines, retail counters, online stores, ONDC. You may not need them today; you need to not be trapped tomorrow.
The long term
10. How often does the product ship? Ask for the last three months of release notes. A platform that ships weekly compounds; one that ships yearly decays.
11. Where does our data live, and can we leave? Private database options, export rights, and a real answer on data isolation per plan tier.
12. Who do we call? Not a portal — a person. Ask who picks up on day two when a reader misbehaves at 12:40pm.
Scoring it
If a vendor clears eight of twelve, shortlist them. If they clear all twelve, ask for references and move fast — operators who find that platform stop shopping.
